Paul Mayer, owner of Vallarta Food Tours had used Active Campaign for a number of years. A significant price increase in his subscription for reaching the next tier in the number of contacts in his database, along with a phase out of a useful tool he used everyday - the website chat widget - prompted him to look for fair priced alternatives.
The new system needed to integrate directly with his booking platform "FareHarbor", his current wordpress website, which included a lead magnet, and various custom contact forms as well as moving his database; something Paul did not have time to learn or implement.
The Solution
After a 30 minute consultation we decided upon the TourSync middle tier Ultra plan which includes unlimited database contacts. We also added the whatsApp automation bundle primarily to help with sending automated welcome messages with map links on the day of the food tour and one follow up messages with a review link the day after the tour.
Every part would be implemented by TourSync from importing the current database, fine tuning automations and live training.
Implementation
We started by importing over 10,000 contacts from Active Campaign whilst simultaneously bulk-verifying each address. During this setup, we noticed a number of masked emails which would be unusable in email campaigns so we added a filter to keep these from entering the database. In total, over 250 addresses were flagged and removed, which in turn will greatly enhance his delivery score when it comes to his email campaigns.
Next, we directly integrated his booking system, FareHarbor, which removed his need for his Zapier subscription - a platform Active Campaign needed to connect FareHarbor. Now when someone makes a booking, their details are imported directly into TourSync's unlimited database.

We integrated custom forms into his wordpress website and attached automations and nurture campaigns to maximize each requests potential.
Now that his database was setup, we moved onto messaging. We integrated whatsApp, SMS, GMail and all the lead capture forms all into one unified inbox. We added features such as Missed Call Text-Back which trigger an automated response to the number that was missed leading to what would have been a missed conversation or sale.
The final step was hand-over and training. We setup Paul as the main admin as well as his management staff with limited permissions. Now, Paul can easily keep track of his conversations by going to the inbox and seeing all mediums of contact in one place, even from the same customers. Next, Paul can look on the Pipeline page and see exactly where each contact is in the sales pipeline for his custom and private tour requests.
